How to Find & Narrow Down Your Wedding Venue Options

Searching for a wedding venue is exciting, but with so many options, it can also feel overwhelming. Step 1: Start with a Realistic Guest Count

Before you fall in love with a venue, make sure it can actually hold your estimated guest list. Venues often list a maximum capacity, but that number doesn’t always account for things like a dance floor, buffet tables, or comfortable seating arrangements. Having an estimated headcount early on helps you avoid venues that are too small (or way too big).

Step 2: Define Your Budget (and Know What’s Included)

Venue pricing varies widely, so it’s important to set a clear budget before diving into your search. Some venues include tables, chairs, linens, or even catering in their pricing, while others only cover the space itself. Knowing what’s included can help you compare costs more accurately.

Step 3: Identify Your Priorities

Ask yourselves:

  • Do you want an all-inclusive venue or one that allows outside vendors?
  • Are you set on an indoor or outdoor space?
  • Does the venue need to be close to accommodations for guests?

By defining your top priorities, you can quickly filter out venues that don’t align with your vision.

Step 4: Research and Make a Shortlist

Use wedding websites, social media, and recommendations to build a list of potential venues. Pay attention to reviews, photos from real weddings, and any restrictions they may have (such as vendor requirements). Narrow your list to a handful of venues that meet your needs.

Step 5: Schedule Site Visits (and Take Notes!)

Once you have a shortlist, schedule tours. During each visit, ask about:
✔ What’s included in the rental fee
✔ Backup plans for weather (if applicable)
✔ Setup and breakdown timing
✔ Parking and transportation options
✔ Any restrictions on décor, music, or catering

Taking notes (or even snapping some photos) will help you compare venues later when making your decision.

Step 6: Compare & Make Your Decision

After touring your options, sit down with your partner and review everything. Consider how well each venue fits your needs, budget, and overall vision. If you’re stuck between two, think about:

  • Which venue feels the most like you?
  • Which one offers the best guest experience?
  • Are there any hidden costs that could sway your decision?
  • In the case of an outdoor venue, ask yourself, would I be equally happy with this venue if we have to use their weather contingency plan? 

Once you’ve made your choice, be ready to book—popular venues fill up fast, especially during peak seasons!
